Athlaspace ("we," "us," or "our") provides a platform for high school athletic departments to manage rosters, equipment, compliance paperwork, and athletic training. This policy explains what information we collect through the platform, how we use it, and the choices available to schools, staff, and student-athletes.
Athlaspace is used in two ways: by school staff (athletic directors, coaches, athletic trainers, and other administrators) who create accounts directly, and by student-athletes, whose records are created by their school's staff and who log in separately through the athlete portal. If you're a student-athlete, your school — not Athlaspace — decides what information about you is entered into the platform and who at your school can see it.
Admin accounts. Full name, position/title, email address, school, state, and a securely hashed password (we never store your password in plain text).
School information. School name, state, mascot, and brand colors or logo, as entered by an admin.
Athlete records. First and last name, email address, gender, and graduation year, entered by school staff when adding an athlete to a roster. Athletes log in separately using a one-time code sent to their email — we don't ask athletes to create or store a password.
Compliance submissions. Responses to forms your school configures — this can include physicals, waivers, eligibility paperwork, uploaded documents or images, and drawn signatures. These are stored with our file storage provider (Cloudinary) and linked to the submitting athlete.
Equipment and inventory records. What items and sizes a school has in stock, and which items are checked out to which athlete, on which team, and when.
Athletic training records. Where a school uses the athletic training platform, injury and treatment notes, comments, and follow-up dates tied to an athlete. This platform is restricted to a school's head admin and staff in the "Athletic Trainer" role — other admins cannot see it.
Session and login data. We use a session cookie to keep you signed in, stored server-side in our database. We don't use third-party advertising or analytics trackers.

We share data with a small number of service providers we use to run the platform, and only to the extent needed for them to provide that service:
Within a school, visibility follows each platform's own permissions — for example, athletic training records are limited to head admins and athletic trainers, and only a school's own staff and athletes can see that school's data. We don't share your data with other schools or with unrelated third parties.
Student-athlete records are entered and controlled by school staff, not by Athlaspace or the student directly. We act as a service provider processing that data on the school's behalf. If your school is subject to FERPA or a state student-data-privacy law, your school remains responsible for its own compliance and for deciding what student information to enter into the platform. If you're a parent, guardian, or student with questions about specific records, please contact your school directly — they control that data and can request changes or removal on your behalf.
We retain school and account data for as long as a school's account is active, so rosters, history, and compliance records remain available season over season. If a school or admin wants data deleted, contact us and we'll remove it, except where we need to retain limited records to meet legal obligations or resolve disputes.
Passwords are hashed, never stored in plain text. Athlete login uses time-limited, single-use codes instead of passwords. Sensitive platforms like athletic training are restricted by role. No system is perfectly secure, but we take reasonable technical and organizational measures to protect the information in our care.
Admins can update or remove information through the platform directly — school and roster details, athlete records, and your own account. Athletes and parents/guardians should reach out to their school's admin to review, correct, or request deletion of athlete records. You can also contact us directly using the information below.
If we make material changes to this policy, we'll update the date at the top of this page. We encourage checking back periodically.
